As soon as your date and venues are set
- Write down every place in the day: getting-ready venue, ceremony, photo spot, reception, and the hotels guests are staying at.
- Note the distance and drive time between each one.
- Decide who needs transport: the couple, parents and grandparents, the bridal party, guests, out-of-town family.
- Ask us for a quote, especially for November to March dates.
6 to 8 weeks before
- Confirm guest numbers for each transfer (how many people, from where, to where).
- Agree pickup times with a buffer before the ceremony.
- Collect flight details for family arriving by air, if you want airport transfers.
- Note anyone who needs extra help: older relatives, small children, mobility needs.
The week before
- Send the final run-of-day with every address and map pin.
- Name one contact person for the day (not the couple) and share their number with us.
- Agree the last pickup time at the end of the night and tell your guests.
- Check venue gate codes, parking and drop-off points.
On the day
- Keep phones charged and the contact person reachable.
- Let guests know where to meet their ride after the reception.
- Relax: the driving is taken care of.
